Registration and payment systems on Google Sheets
I ran my own business on a registration and payment system I built on Google Sheets. Families signed up online, paid by card, got a confirmation and a reminder, and every session's roster and balance sat in one sheet. I build the same kind of system for camps, clinics, leagues, classes and events.

Each project is scoped to your sheet. These are the pieces I build most often.
Sign-up form
A branded web form or a Google Form, with the fields you need, conditional questions and a choice of session or date.
Capacity and waitlists
Each session has a limit. When it fills, the form stops offering it and new sign-ups go to a waitlist that notifies the next person when a spot opens.
Card payments
Stripe, Square or PayPal checkout links with the amount set by the sign-up, and payments matched back to the right row automatically.
Discounts and balances
Sibling and early-bird discounts, promo codes, deposits and partial payments, with a running balance per family.
Confirmations and reminders
A confirmation email with what they signed up for, a reminder before the start date and a balance reminder if anything is unpaid.
Rosters and check-in
A clean roster per session for coaches or instructors, printable or as a phone-friendly check-in page.
What I built for my own business
For six years I ran a local business that took registrations for programs every season. The system I built on Sheets handled the sign-up form, session limits, card payments, confirmation and reminder emails, rosters and a dashboard of who still owed money. It ran in our own Google account and did exactly what our programs needed, nothing more.
Questions about registration and payment systems
Is it safe to take payments this way?
Card details never touch your sheet. Payments happen on Stripe's or Square's own checkout page, and only the result (paid, amount, date, reference) is written back to the sheet.
What does it cost to run?
Usually only the card processor's normal fees. There's no platform fee on top, because the system runs in your Google account.
Can parents register more than one child?
Yes. One sign-up can include several participants, with sibling discounts applied automatically if you offer them.
Can it collect waivers?
It can require agreement to your waiver text and record who agreed and when. For legal wording, use the waiver your insurer or attorney gives you.
