Gmail and Google Sheets automation
A lot of business email is the same message with a different name, date and amount. I set up Gmail and Sheets so those emails go out from your own address at the right time, and so emails that arrive with orders, leads or CSV attachments get read into your sheet instead of retyped.
Connect Gmail to my sheetWhat it can do
Common Gmail jobs I set up. Yours will match how you use Gmail today.
Personalized sends
Templates with fields like name, date, balance and link filled from each row, sent from your Gmail and saved in your Sent folder.
Scheduled reminders
Appointment, payment or renewal reminders sent a set number of days ahead, and stopped once the row is marked done.
Attachments filled from rows
A PDF invoice, schedule or certificate created from the row and attached to that person's email.
Inbox to sheet
Emails matching a search, like lead notifications or order confirmations, read and turned into rows with the key details pulled out.
CSV attachments imported
A report emailed to you every week as a CSV is opened, imported into the right tab and labeled as processed.
Send log
Every email the script sends recorded on its row with the date and template, so you know who got what.
How it's built
For sending, the script uses GmailApp or MailApp, which send from the account that owns the script. Templates live in a tab or a Google Doc, so you can change the wording without touching code. HTML emails can include your logo and formatting.
For reading, GmailApp searches your inbox with the same search syntax you'd type into Gmail, like from: or has:attachment. The script pulls out the fields it needs, writes them to the sheet and adds a label so the same email is never processed twice.
A time-driven trigger runs the sends and inbox checks on a schedule. Before each batch, the script checks how much of the day's email quota is left and holds any remaining emails for the next run instead of failing partway through.
Good to know
- Google limits how many recipients an account can email per day: 100 on a free Gmail account and 1,500 on Google Workspace. Bigger lists belong in a newsletter service.
- This is for transactional and one-to-one email, like reminders, receipts and replies. It isn't a marketing email tool and doesn't handle unsubscribes the way one does.
- Reading emails depends on them arriving in a consistent format. If a sender changes their layout, the parsing may need adjusting.
- The script needs permission to access your Gmail, so I scope it to what the job requires and explain what each permission is for.
Gmail questions
Will the emails look like they came from me?
Yes. They're sent from your Gmail or Workspace address and show up in your Sent folder. Replies come straight back to your inbox.
Can it send from a shared address like info@?
Yes, if that address is set up as a send-as alias on the account running the script.
Will my emails go to spam?
Personal, expected emails from a normal account to people who know you usually land fine. Sending large volumes of unrequested email can hurt your account's reputation, so I keep sends to people who asked to hear from you.
Can it read my whole inbox?
It only processes the emails that match the search we set, such as one sender or one label. I keep the scope as narrow as the job allows.
Tell me what your sheet needs to do
A few sentences is enough to start. I'll reply with questions, then a plan and a fixed quote.
