Google Forms automation
Google Forms is free and easy for people to fill out, but on its own it only drops responses into a sheet. With Apps Script, each response can trigger the next step: a tailored email, a row on the right tab, a document, a calendar event or a change to the form itself.
Connect Google Forms to my sheetWhat it can do
Common Google Forms jobs I set up. Yours will match how you use Google Forms today.
Route responses
Each response copied to the right tab by program, location or request type, with cleaned-up names, phone numbers and dates.
Custom confirmations
An email that repeats what they submitted, adds the details that apply to their choice and comes from your own address.
Close options when full
When a session, time slot or item reaches its limit, the script removes it from the form's choices so nobody picks it.
Documents from responses
A filled-in Google Doc or PDF, like an application summary, quote or certificate, filed in Drive and attached to the confirmation.
Notify the right person
The staff member responsible for that request type or area gets an email with the response and a link to the row.
Edit links saved
Each respondent's edit link stored on their row, so you can send it back if they need to change an answer.
How it's built
An installable On form submit trigger runs the script every time a response comes in. The event gives the script the submitted answers and the response itself, so it can read every field and act on it within seconds.
To change the form, the script uses FormApp to update the choices on a question, for example rebuilding a session list from a Sessions tab and leaving out any session that's full. The same script can run when someone edits the Sessions tab, so the form and the sheet always agree.
Responses still land in the linked response sheet untouched. My scripts work on separate tabs, which keeps the original record clean and means a script error never loses a response.
Good to know
- Google Forms has limited styling. If the form needs your branding, live availability or payment in the same step, a custom web form built with Apps Script is a better fit.
- Two people can submit for the last spot within seconds of each other. The script locks while it checks capacity and waitlists the second one, but the form itself can't stop the second submission.
- Confirmation emails count toward your account's daily email quota, which is 100 recipients on a free Gmail account and 1,500 on Google Workspace.
- File upload questions require respondents to sign in to a Google account.
Google Forms questions
Can I keep my existing form?
Yes. I add the script to the form and sheet you already have. Your questions and response history stay as they are.
Can the form show different questions based on answers?
Google Forms supports sections that branch on an answer. The script can then handle each path differently after submission.
Can it take payment?
Not inside Google Forms itself. The confirmation email or the next page can include a Stripe, Square or PayPal payment link tied to that response.
What happens if the script fails on one response?
The response is still saved in the form and its sheet. The script emails me or you with the error, and the response can be processed again once it's fixed.
Tell me what your sheet needs to do
A few sentences is enough to start. I'll reply with questions, then a plan and a fixed quote.
