Google Sheets systems for tennis and pickleball clubs

I ran my own racket sports business for six years, with court time, private lessons and seasonal programs, and I built the systems we ran it on in Google Sheets. If you run a club, academy or program, I know the moving parts because I've managed them myself.

What I build for tennis and pickleball clubs

The pieces that come up most. Your system gets the ones you need and none you don't.

Program and clinic registration

Sessions by level, day and season, with class limits, waitlists, make-up tracking and online payment.

Court and lesson schedule

Courts and pros on one schedule in Sheets, shown on Google Calendar, with double bookings caught before they happen.

Lesson packages

Prepaid packs tracked per player, with lessons used, lessons left and a reminder when they're running low.

Pro hours and payroll

Lessons and clinics taught by each pro totaled per pay period, ready for payroll.

Player and parent emails

Confirmations, rain-out notices to one group, end-of-session reminders and re-enrollment emails.

Season dashboard

Enrollment by program and level, court use, revenue by program and open spots for the coming week.

What the sheet looks like

Common questions

Can members book courts themselves?

Yes, through a booking page built on top of the sheet that shows open courts and claims the slot when someone books. For busy clubs with many courts and members, I'll talk honestly about whether dedicated booking software is the better fit.

Does it handle make-up classes?

Yes. Missed classes can be logged and make-ups booked into other sessions with open spots, with the count tracked on the player's row.

Can it work for both tennis and pickleball?

Yes. Programs, courts and pros are set up as lists in the sheet, so you can run both sports, or add a new one, without changing the code.

We already use club software. Can you connect to it?

If it has an API or regular exports, often yes. Some clubs keep their booking software and use Sheets for programs, payroll and reporting.

A few sentences is enough to start. I'll reply with questions, then a plan and a fixed quote.
