Google Sheets inventory and sales systems for retail and ecommerce
Small shops usually know their products better than any report does, but answering what to reorder and what's actually selling still means exporting CSVs. I build inventory and sales systems in Google Sheets that pull from Shopify or Square on their own and tell you what needs attention.
Tell me about your setupWhat I build for retail and ecommerce
The pieces that come up most. Your system gets the ones you need and none you don't.
Inventory with reorder points
Stock on hand per product, a reorder point and lead time for each, and a list of what to order this week.
Sales imports
Shopify and Square sales pulled in on a schedule, so in-store and online sales sit side by side.
Purchase orders
Pick what to reorder and the script builds a purchase order per supplier as a PDF or email.
Receiving
Log a delivery against its purchase order and stock levels update, in the sheet and back in Shopify if you want.
Margin reports
Revenue, cost and margin by product, category and month, with discounts and fees counted.
Weekly summary
An email every Monday with last week's sales, top sellers and items running low.
What the sheet looks like
Plain columns your team can read, with the scripts doing the work around them.
| SKU | Product | On hand | Reorder at | Status | |
|---|---|---|---|---|---|
| 2 | CND-014 | Cedar candle 8oz | 12 | 20 | Reorder |
| 3 | CND-022 | Sea salt candle 8oz | 46 | 20 | OK |
| 4 | MUG-003 | Stoneware mug | 7 | 10 | Reorder |
| 5 | TEA-101 | Breakfast tea tin | 31 | 15 | OK |
Common questions
Can it update inventory in Shopify?
Yes. Inventory changes made in the sheet, like a received delivery, can be pushed back to Shopify. Those updates always go through a review step first.
We sell in person on Square and online on Shopify. Can both feed one sheet?
Yes. Both import into one sales tab with a channel column, so reports can combine them or split them out.
What if we have thousands of products?
A sheet handles thousands of products fine. Very large catalogs with many variants and high order volume may need a different tool, and I'll say so up front.
Can it track products we make ourselves?
Yes. Materials can be tracked separately, with each finished product using up a set amount of each material.
Tell me what your sheet needs to do
A few sentences is enough to start. I'll reply with questions, then a plan and a fixed quote.
