Google Sheets job tracking for contractors and field service

Plenty of contractors already run their jobs from a spreadsheet, and the trouble starts when the crew can't update it from the field and the office retypes everything into QuickBooks. I build job tracking on Google Sheets that crews can use from a phone and that hands finished jobs straight to invoicing.

What I build for contractors and field service

The pieces that come up most. Your system gets the ones you need and none you don't.

Lead and estimate tracker

Every lead in one sheet with source, status and follow-up date, and estimates created from a template with one click.

Job board

Jobs by stage, from sold to scheduled to in progress to complete, with the crew, address and dates on each row.

Mobile job log

A phone-friendly page where crews pick the job, add notes, hours and photos, and mark it done.

Crew schedule

Who is where each day, shown on Google Calendar and emailed to each crew lead the night before.

Invoicing handoff

Completed jobs pushed to QuickBooks Online as invoices, with payment status coming back to the sheet.

Job costing

Labor hours and materials against the price of each job, so you can see margin by job type.

What the sheet looks like

Plain columns your team can read, with the scripts doing the work around them.

Common questions

Can crews use it without a Google account?

For the job log page, crews usually sign in with a company Google account so access is limited to your team. If they don't have one, we can set up a simple alternative and talk through the tradeoffs.

Where do job photos go?

Into a Google Drive folder for each job, linked from the job's row, so the office and the crew see the same photos.

Is this a replacement for field service software?

For small and mid-sized crews, it often covers what they actually use. If you need dispatch with live GPS or a customer app, dedicated software may be worth its monthly cost, and I'll tell you that.

Does it work with QuickBooks Desktop?

The automatic invoicing works with QuickBooks Online. With Desktop, the sheet can produce an import file instead.
